One of the most important tasks which Property Managers undertake is the routine inspection of properties to ensure the property is being maintained adequately and that all conditions related to the tenancy are being met. Before inspection, both tenant and landlord must consider what falls into the category of normal wear and tear and what is considered damage. Normal wear and tear occurs regardless of how particular a tenant is. The Property Manager must ensure due notice of inspection has been given to the tenant.

The most logical approach is to go through the property room by room.

Firstly, check the condition of the exterior. Note the condition of gates, fences, and patios, sheds, washing lines, letterboxes and driveways. Check for rubbish being stored and that all refuse bins are empty and clean.

The condition of all exterior doors, latches and windows should be noted. Check if windows open.

In the living area, check and record the condition of the ceiling and walls. Any holes or stains should be recorded. Also check the flooring, curtains and light fittings. Check power points are not being overloaded as this is a fire risk. Check any heating is working and safe.

In the kitchen, check ceilings, walls, floors and curtains or blinds. Also note the condition of the oven and any appliances such as dishwashers or fridges that may be part of the chattels. Check any appliances which are part of the tenancy work by switching them on. Note if all elements on any stove top work.

In any bathrooms, check the taps and toilets are all working by turning them on and flushing. Check any ventilation systems are working. Note the condition of tiles and sinks. Check for any leaks. Check that the shower, bath and sink drain freely. Check if the windows open. Check the condition of any mirrors and medicine cabinets. Check ceiling, walls, and flooring for any signs of water damage.

Check laundry facilities. Check washing machine hoses are secure and not leaking.

In bedrooms, check ceiling, walls, flooring, light fittings and curtains. Check closets and windows.

All power points throughout the house should be checked to make sure they have cover plates and are working correctly. All phone jacks should be checked.

Check for operational smoke alarms. Every room should have one window that opens freely for fire escape purposes.

Check for any signs of breaches to tenancy agreement, for example if there are pets not agreed to or signs of smoking inside contrary to agreement.

Record any comments in writing for the tenant and landlord and arrange any necessary repairs or reimbursement for damages.
