 Achieving the Triple Bottom Line Through Paperless Office Management

Until recently real estate transactions were dominated by the fact that written agreements were the only type of binding agreement according to federal law. With the advent of the Electronic Signatures in Global and International Commerce Act (ESGICA) of 2000, e-contracts were, for the most part, legalized, allowing businesses to provide a range of services over the Internet. Subsequently, the ESGICA has given birth to the paperless office movement, enabling property managers to save trees, time, and money.

With the exception of eviction notices, all other typical real property management functions can be performed online including:

  • Communicating with current residents, owners and vendors
  • Accepting applications
  • Processing lease agreements
  • Creating and distributing work orders
  • Writing and disseminating brochures and newsletters
  • Automating payments: to vendors, from renters, to owners

While this may sound futuristic and maybe even a little frightening, with some practice, support and courage, property managers can achieve better communication, more efficient record keeping, increased search functionality and lower operating expenses. Imagine if all your files were web-based, that is all of your files pertaining to properties, residents, vendors and owners were secure yet not located in a file cabinet in your office or in a program on an office computer. Instead, imagine your files were accessible — in the same way your e-mail is accessible — using a secure password via the Internet from any computer anywhere in the world!

Without compromising files by keeping them on a hard disk or forgetting to back them up or carrying file folders home from the office, approved staff are now able to access data and complete tasks from wherever they happen to be. While one doesn’t often see the words ‘convenient’ and ‘green’ in the same sentence, web-based property management software can enable staff to work from home, reducing vehicle miles traveled and lowering the carbon footprint of your property management business.

Although there is no substitute for human interaction in building and maintaining relationships, sometimes it helps to be able to work from home or on the road. This flexibility can increase employee satisfaction, leading to greater productivity and freeing employees to attend to other tasks. Since salaries are by far the largest expenditure for most businesses, increasing productivity can have an exponential effect on your company’s bottom line.

As a nation we have become addicted to convenience and for the most part this has been a net negative for the planet; however, when it comes to implementing paperless office practices, property managers are now able to address the triple bottom line of people, profit, planet without sacrificing their ability to get the job done efficiently and effectively.
